What to Expect During Your Initial Strategy Session with NW Ledger Company

Here’s what to expect during your initial strategy session, and how to make the most of our time together.

You’ve chosen to partner with us for bookkeeping, accounting, payroll, and/or tax services - your first meeting with your new accounting team is scheduled, and we’re thrilled to get started!

Our mission is to simplify financial and operational complexities so you can focus on growing your business with clarity and confidence. This first meeting is an important step in that direction, and we’re excited to be your dedicated back-office partner.

The Fact-Finding Phase: Why We May Ask the Same Questions Again

Your onboarding begins with a one-hour strategy session with your new accounting team. If you're nearby, we’d love to welcome you in person at:

417 Maple Ave
Snohomish, WA 98290

If you’re joining virtually, a Zoom link will be included in your calendar invite.

This session may feel familiar, and that’s intentional. It allows us to confirm key details, revisit your business operations, and ensure your new team is fully aligned with your needs.

Think of it as laying the groundwork for a seamless, supportive client experience, designed to feel like we’re right there in your office from day one.

Business Goals and Burning Questions: Your Time to Get Answers

Next, we'll talk about goals and answer your questions. This meeting is your time to ask all those burning questions like:

  • Am I structured correctly for taxes?
  • What should I be watching for in the months ahead?
  • Can I finally ditch the shoebox of receipts?
  • When will you take over sales tax filings?
  • What can I do now to set myself up for a smooth year-end?
  • Should I put my vehicle on the books?

Once we understand your business goals, our team will be available to answer anything else that’s on your mind. As part of your monthly service, you can always reach out by phone, email, or Zoom - that’s what we’re here for.

This session is about building a strong foundation and open communication from day one, so don’t hold back - ask away!

seriously, this is pretty special

System Access: Building Your Financial Infrastructue

Toward the end of our meeting, we’ll gather the access we need to begin supporting your business, including:

  • QuickBooks Online (if we don’t already have it)
  • Online bank and credit card access
  • Point of Sale system login
  • Sales tax and any other relevant tax account logins

Our goal is to create our own logins to minimize the need for multi-factor authentication (MFA) requests and avoid interrupting your day-to-day. Handling this during onboarding keeps your post-meeting to-do list short and allows us to get started right away.

Pro tip: Have your login details handy — we’ll try to log in together during the meeting.

Final Steps To Complete Onboarding

As we wrap up your initial strategy session, we’ll confirm your timeline, clarify next steps, and outline how responsibilities will transition to our team.

To help everything run smoothly, we’ve included a checklist below with helpful items that we'll request from you through the client portal.

If payroll services are part of your engagement and haven’t started yet, we’ll schedule a separate 30-minute kickoff call with our payroll implementation team. We keep this separate to ensure we can focus this meeting on your broader business and accounting needs.

Our goal is to have everything in place within 30 days, and we’re excited to get started!

Strong Partnerships are Built on Communication

Consistent, timely communication is the foundation of a successful long-term relationship, and we take that seriously. Every member of our team is committed to being responsive and communicative, and we ask the same in return.

We understand you’re busy, but quick responses and proactive engagement, especially early on, help us support your goals more effectively. Delays in providing tax documents, sales reports, or other key information can slow our work and limit how much value we can bring to your business.

We’re here to be your partner, not just your provider. So don’t hesitate to reach out - your questions are always welcome.
